Terms and Conditions for our Activities and also below for our Holidays

It should be noted that these booking conditions form part of the booking form referred to in THE TANDEM EXPERIENCE website and shall be deemed to constitute part of the contract between THE TANDEM EXPERIENCE and the participants/s named. Acceptance of the booking is therefore subject to the following terms and conditions.

ACTIVITIY CONDITIONS

Making an Activity Booking

We will confirm you’re booking with full details of the activity using your preferred method of communication.

Upon receipt of your payment we'll send your confirmation containing information about the location and the Members contact details. You must call our Member to confirm arrival time and they are available to answer any questions on the area you may have.

The Tandem Experience is a Membership Organisation, and all payments made are between you and The Tandem Experience. All correspondence (electronic or otherwise) from The Tandem Experience will clearly identify the Members by name so that know with who are doing business with.

Methods of Payment

Your Tandem Experience Activity is not guaranteed until payment has been received.

We accept payment by credit card, debit cards and bank transfer.

For ease of administration The Tandem Experience will only accept full payment of Activities booked.

Deposits

Other than Activities listed below full payment is made with your booking.

Holidays: Please see our separate Holiday Terms and Conditions below.

Corporate Booking require full payment prior to the booked date. If a cancellation is made by the customer 80% of the full payment will be refunded. If by the Tandem Experience a 100% refund is made.

Cancellations and Refunds

If you have to cancel your activity for whatever reason we will refund your monies in full, Guaranteed.

If The Tandem Experience finds it necessary to cancel an Activity due to circumstance beyond our control we will advise you of this situation at the earliest possibility and offer a suitable alternative. However, if the alternative is not acceptable to you The Tandem Experience will refund all payments, which constitutes full settlement.

Changes to the Itinerary

The Tandem Experience itineraries are well researched and carefully planned but we are constantly striving to enhance the enjoyment. As our experience grows and conditions change, we may find improvements to what we have planned and make alterations for everyone's benefit. Sometimes also, we are required to alter an itinerary due to unforeseen circumstances. In these rare cases, The Tandem Experience will endeavour to make alternative arrangements while maintaining quality standards and minimising route changes.

Travel Insurance

We highly recommend that you obtain Travel Insurance to cover unexpected costs due to illness, accident, lost luggage, trip interruption or cancellation. Overseas residents must obtain insurance cover in their home country.

Price Guarantees

The prices quoted are guaranteed to the end of each calendar year. All prices are quoted in Pounds Sterling include VAT at the time of sale and are payable in that currency.

Accommodation

If accommodation is provided as part of the activity the full details of this will be indicated on the website and/or your confirmation. Please also see our separate Holiday Terms and Conditions.

Helmets

Helmets are provided free of charge on all Tandem Experience activities and we strongly encourage their use. All our helmets meet ANSI performance standards

As a condition of booking with The Tandem Experience all persons under 18 years of age are required to wear a helmet. Adults refusing to wear a helmet will understand that they have the right to do so and understand that all liability to the non use will be wavered upon any claim made.

Quality Equipment Hire

High Quality Tandem rental is included on all Tandem Experience activities. If you choose to bring you own Tandem you may do so and full responsibility for repair will remain with you.

A Word about Fitness

Our activities are designed to be enjoyed by people of all fitness levels. However, as with any activity, the time to get in shape is before and not during it. We recommend you consider a programme of regular physical activity in advance. And please, if you are in doubt about your health or physical ability, let us know so that we may advise you on your chosen activity.

HOLIDAYS CONDITIONS

  1. A booking will only be constituted by the return of a completed booking form accompanied by a remittance the sum payable or the total cost of the holiday as advised by the company. The balance of the price of the holiday shall require being in the hands of the company not later than ten weeks before the commencement date of the holiday. The company reserves the right to levy an administrative charge in respect of late bookings.

  2. All cancellations must be received IN WRITING at our office. In this event, the following terms will apply; Bookings cancelled before the expiry of 10 weeks the company will refund all sums paid less deposit paid – with the exception of Corporate Bookings. Any bookings cancelled more than twenty eight days before the commencement of the holiday shall be entitled to return of 50% of the total holiday price (if paid) and any bookings cancelled less than twenty eight days before commencement of the holiday shall forfeit all sums paid. Exceptions to this policy will not be made for any reason, including weather, or personal emergencies. There is no refund for arriving late or leaving a holiday early. In any of the above events there will be an additional administrative charge of £25 (if any amount over and above the deposit has been paid).

  3. Cancellation of the holiday. The company shall use its best endeavours to ensure that there are no cancellations but reserve the right to cancel the holiday should the minimum number of persons required to run the holiday is committed by ten weeks before commencement of the holiday, or agree to continue with modifications or a reduced group surcharge. In that event all sums paid by the prospective customer shall be refunded less an administrative charge of £25. It is understood that any event or act of war, civil or political unrest, flood, general act of God, or other force majeure shall constitute a sufficient reason for the company to cancel the holiday. The company is not responsible for additional expenses incurred by you in preparing for the trip (e.g. non-refundable air tickets, visa fees if applicable, gear or medical expenses)

  4. Price Guarantee. Prices stated in THE TANDEM EXPERIENCE website are per person and guaranteed regardless of fluctuations in foreign currency for reservations received through to the holiday dates advertised. Prices do not include travel too or from the destination. The information provided in THE TANDEM EXPERIENCE website attempts as far as possible to provide details of the holiday undertaken, its duration, route and nature and details of accommodation and food. Further details will be provided as known to the company, but if the applicant becomes aware at any stage that the information does not coincide with the understanding of the position the onus will be upon the applicant to intimate their intention to cancel the booking before the eight week period before referred to.

  5. Booking as a single. Our prices are based on double occupancy unless otherwise stated. If you require a single room you will be charged a single supplement regardless of when you book. However due to some of the remote areas visited, single rooms are very limited and therefore subject to availability. Prices of single occupancy will be advised at point of booking.

  6. If you are to supply your own Tandem for the holiday, we will transport the Tandem the tandem from the designated port or our office location in Ironbridge, Shropshire. The Tandem will be delivered at our destination and returned to the port or our offices at the end of the holiday. Responsibility of delivery and collection at the port or our offices will be entirely the customer’s and by arrangement with the company. Customers must ensure that the Tandem is adequately insured for transportation.

  7. Insurance. It is a condition of joining our holidays, and the responsibility of the applicant to ensure that they are adequately insured against medical and personal risks covering the holiday, including repatriation, ambulance and air rescue and cancellation.

  8. The quality of your holiday. A questionnaire will be provided at the end of the holiday for your general comments. This enables us to keep in tune with our customers' aspirations and continually improve our product and services. However, if during the holiday, you have a complaint please discuss the matter immediately with the holiday leader who will take the appropriate action. Should you be dissatisfied with the result and feel that it has severely affected your enjoyment of the holiday please write to us within 28 days of your return. We will respond within the same period and endeavour to resolve the matter to both our mutual satisfaction.

  9. It is expressly confirmed that the company cannot accept responsibility for loss or injury to the applicant arising directly through failure by the applicant or of machinery provided by the applicant or company but shall be responsible only in the event that the loss or injury to the applicant has been directly occasioned by an error by the company or on its behalf by its representative. Applicants travelling within vehicles run by the company shall have passenger liability insurance in the normal manner. You are recommended to insure yourself against any possible risk which you may incur within the holiday. The company shall also not be liable for damages in the event of cancellation of the holiday in relation to any foregoing matter as specified herein. The Company reserves the right to alter the route as conditions prevail to accommodate changes in weather, terrain and physical condition of participants. The leader's decision is final.

  10. By their acceptance hereof the applicant/s agrees and accepts that it has been read and understood the terms of these booking conditions and agrees to be bound by same. The applicant also confirms that the applicant/s considers themselves medically fit to participate in the holiday and that no warranty has been given by the company as to the medical condition of the applicant. Any information provided by the company in relation to travel details or requirements in respect of passports, visas, vaccinations or other requirement which should be required for trips out of the U.K. is provided on a voluntary basis and is not to be relied upon by the applicant.

  11. Sight seeing/ historical sights. Entry to many of these are part of the holiday as indicated or free, however where a charge is applicable the customer is liable to pay.

  12. It is the responsibility of all applicants to meet at the time and designated start point. Participants failing to connect with the courtesy vehicle are liable for their own expenses to catch up with the holiday.

  13. Delays in the Journey. We cannot be held responsible for any unforeseen delays in your flights prior to, during, or after the holiday including ferry crossings while on holiday, whether caused by weather or other unforeseen circumstances. In the event of a delay you will be responsible for providing your own meals and accommodation.
  14. EQUIPMENT CONDITIONS

    Please Tandem sensibly, with respect for others and the natural habitat.
    Cyclists are expected to follow The Highway Code - in particular the 'Extra Rules for Cyclists' (Rules 187-211).

    Anyone Tandeming in a discourteous or unsafe manner while in possession of any Tandem Experience equipment will have the equipment re-possessed by The Tandem Experience with no refund.

    Cycle helmets are provided free of charge and all cyclists are strongly advised to use them.

    All young person’s (age 18 or younger) MUST wear a cycle helmet and they will not be able to continue with any activity offered by The Tandem Experience.

    Young person’s (age 18 or younger) will only be issued with equipment when accompanied by a parent or guardian.

    Tandems should be locked to a permanent fixture whenever left unattended. The method of securing should include the front wheel and frame. Theft of an unlocked Tandem will be the responsibility of the Participant/s who will be subject to a £500 charge to cover the replacement of the Tandem and its accessories.

    All equipment must be returned to the place from which it was issued at an agreed time.

    The Tandem Experience reserves the right not to supply equipment to an individual.

    TRAVEL REGULATIONS 1992

    Deposits and Final Payments are held in a Trust Fund until your holiday is completed. This ensures the financial security for your holiday and is to comply with EC Package Travel Regulations 1992.
